Founded in 1962, RBS TV is audience leader and recorded a share higher than 50%.
Caio Klein considers essential that in a media company information is accessible and available in real time. The ability to respond in time and the centralization of information meant significant gains with the implementation of GMediaPlan. Today, according to Caio, everyone has access and works in an integrated way.
What are your main responsibilities in the company?
I’m the Operations Manager of RBS TV and TVCOM. I work in Rio Grande do Sul and report to RBS TV media director.
Operations manage all the supporting work to program execution. Our daily work involves organizing tasks to meet the demands of media and entertainment areas, with great emphasis on the daily news scheduling.
Our program schedule has programs from TV Globo and from our own production. We offer different king of programs, from entertainment to news.
Which factors in your work and in the TV business you consider most interesting?
Besides daily programs and news, I like to work in the coverage of major events.
These events are challenging because they allow working with different structures, know the realities of other countries and deal with other people. Whenever our station is covering these events, you must have a team that will be responsible for organizing everything.
Planning is very important and stimulating to those who work in these events.
How long have you been working with GMediaPlan?
I should mention a few key points which were the basis of the implementation of GMediaPlan.
First there was the need to improve our internal processes of HR and TV facilities management.
We have studied GMediaPlan for three years evaluating its feasibility. This time was important for the maturation of the project, where we had a close contact with GSoft who always helped us making the best decision for the implementation of the system in RBS.
In mid-2014 it was set an ambitious project, coordinated by Luis Parzianello (from our planning and logistics department), which aim was to implement GMediaPlan in a tight timeline in our operations area. The implementation took place between August and September. In October we were already using the system, ie, in two months the solution became operational.
The great advantage of this project fell in the work strategy proposed by Luiz Parzianello. The use of agile methods allowed the project to be broken down into small activities. Each stage, with 1 or 2 weeks of duration, focused mainly in a specific area and included training to those responsible for implementing the system in Rio Grande do Sul and Santa Catarina.
What is the importance of GMediaPlan in your work?
GMediaPlan was implemented in the following areas:
- Production Suite, a department that gathers image directors, audio, text and video operators, cameramen. The work starts at 6am and end at 8pm for RBS TV and at 11pm for TVCOM.
- Image editors, a department that works with journalism and entertainment and simultaneously performs image editing work and post-production.
- Photographers, which are responsible for capturing images that will be used in the news.
- External, a department that works essentially with events.
- Technical Center and Ingest, a department that receives the signals arriving at the station, ingests them and then edits them.
- Cedoc, the documentation center.

What is the role of GMediaPlan within your/your area’s work?
The implementation in GMediaPlan made all coordinators aware of what is happening in the station and each area’s needs.
What are the advantages and improvements of your day-to-day work with the use of GMediaPlan? How was your work before GMediaPlan?
With GMediaPlan we had direct and indirect benefits:
The centralization of information is the main direct benefit. Today everyone has access and works in an integrated way.
Previously each coordinator had to manage resources in its own way. The work was not centralized – each coordinator used its own Excel sheet and it wasn’t shared among coordinators.
We all know that for a media company is crucial that information is readily available and accessible in real time. With GMediaPlan a coordinator knows what is happening in DSNG/uplink vans allowing informed decisions when needed. We have significantly improved our time of response.
Thus, from the moment the information is centralized and available to all, we begin to have productivity gains, because we know who the best human resource is and what the best way to meet a need is.

Whenever a department needed to record a program, our operations were analyzed to better meet this need and this situation required time. Currently, we can respond on real time and in advance.
We save money when we hire someone. For example, when we have an event if we hire a resource with one month in advance will surely be financially better than in situations where we hire someone very close to the event, because we will likely have to pay more to have this “last minute” service.
Employees also pointed out improvements. Weekly planning meetings are currently supported by GMediaPlan instead of MS Excel. Coordinators access the Production Map to plan the week and analyze how the different demands will be met: what will be the team and equipment assigned and the schedule. The information is combined with the employees’ schedule, allowing people to better know in advance the work schedule and their free time.
I would also like to mention the next steps to use GMediaPlan:
First, making a thorough analysis of employment indicators and productivity that we can extract from GMediaPlan to improve our management.
Second, recording operational and work errors in the log to allow an analysis of these indicators.
Besides the implementation of the financial module, we want to also to explore the labor laws and regulations, which is a legal requirement, whether in relation to the scales and working hours, holidays, weekends,…
